Online spa management software is a cloud-based software that runs your booking, checkout, client records, and reporting from a browser instead of a server sitting in your back office. But these platforms vary in the work they’re built to handle and the types of spas they best fit.
One useful way to understand the options is to group them into three categories:
- All-in-one spa management software built for mid-sized, large, and multi-location spas handles the coordination and day-to-day management required as a spa gets busier. For example, it can check the spa’s actual capacity before booking, easily bring a multi-service visit into one checkout, and give you detailed reports that show where revenue is coming from and how the business is performing over time. However, it’s often overkill for businesses with just one or two service providers, where there’s less to coordinate and track.
- Entry-level spa management software gives you basic tools for online booking, calendar management, checkout, and reporting, but generally offers less automation for coordinating a busier schedule and less detail about what’s driving business performance. Still, what these platforms offer is often enough for a solo esthetician or small team.
- Spa management software with a consumer marketplace combines business-management tools with a directory where people can search for nearby services. This can be useful for a new spa that hasn’t built an established client base yet, because it puts the business in front of people already looking to book nearby. The tradeoff is that it also places the spa alongside local competitors.
In this article, we compare options from each category based on what each platform is built to handle and which type of spa it fits best. We start with our own platform, Meevo: an all-in-one online spa management software for spas that have outgrown basic booking tools and need to coordinate multiple service providers and treatment rooms.

1. Meevo: All-in-One Online Spa Management Software for Spas with Multiple Service Providers
Meevo is an online spa management software built for spas with several service providers, whether you have one location or several. Since it’s cloud-based, you and your staff can run the whole operation from a laptop at the front desk, a phone in the treatment hallway, or a tablet at home, checking in on the schedule from wherever the day takes you.
A growth-minded spa needs software that coordinates appointments around its actual capacity and connects booking and checkout data with reporting and marketing.
Meevo brings those functions together in one system:
- Checks real capacity before it ever books an appointment, so the calendar only shows openings you can actually deliver on.
- Keeps the schedule full, from a 24/7 branded booking page to an AI receptionist that can answer the phone when your front desk can’t.
- Makes checkout quick for clients and helps bring in more revenue. Staff can split or swap membership credits right at the register and rebook the client’s next appointment before they leave.
- Turns booking and checkout data into 150+ reports that tell you what’s actually driving revenue, without you having to figure out what to measure yourself.
- Brings clients back with built-in marketing tools that use the same client data as your booking system, so campaigns are targeted instead of generic.
On top of that, Meevo offers live, US-based phone and chat support that has earned a 98.5% client support rating. When a question comes up, you can reach a real person who knows the software rather than deal with a chatbot or wait days for an email response.
Paula Pelkey, Spa Director at Woodhouse Spa in Denver, switched to Meevo after working with several other spa platforms. She describes what sets it apart:
“One of the big things that I found was, reporting was kind of lackluster for a lot of the other systems. Or their online booking was really clunky and challenging, and those are the two things that need to be the most easy to use for us.”
Appointment Management Tools Coordinate Staff, Resources, and Visit Details Automatically
A spa appointment usually needs a service provider, a treatment room, and sometimes a specific piece of equipment to be available at the same time. That gets harder to track the busier your spa gets.
Meevo keeps track of all of this for you, along with the rest of the work that goes into setting up each appointment correctly before the client walks in.
- Meevo makes sure the service provider, rooms, and equipment a service needs are all open before any appointment is confirmed. With resource management tools, you add each room and piece of equipment to Meevo one time, along with what it can be used for and how many clients it holds. That includes flexible spaces, like a room set up for couples or two rooms that open into one through French doors, which can still be booked separately the rest of the time.

- Bookings rotate across your treatment rooms automatically so the wear is spread evenly. You don’t have to change the order that the rooms get booked in yourself.
- A client profile is created automatically the first time someone books, and every visit after that adds to it. Custom fields hold the details your spa cares about, like robe size or pressure preference, so staff can personalize each visit and send relevant offers that bring clients back. The profile follows the client to any of your locations.

- Intake forms go out automatically based on the service booked, so each client gets the right form for their appointment. You choose whether the form goes out at booking, at confirmation, or before the visit. Clients can also fill it out on a tablet when they arrive. Completed forms save straight to the client’s profile.
Online Booking and Automation Help Fill the Schedule and Increase the Average Ticket
A full schedule takes steady work from the front desk. Staff have to get clients booked and keep appointments on the calendar when plans change, and that work adds up the busier your spa gets.
Meevo takes on most of this work for you, and it helps raise what each client spends per visit along the way.
- Clients can book online 24/7 on your spa’s own website, for themselves or for a group of up to five people. The booking tool is embedded right into your site, so clients never get sent to a different website or a new browser tab to finish. For group bookings, a provider and room are assigned to each person automatically, so the front desk doesn’t need to get involved. Clients can also book straight from your listing on Google Search or Google Maps.

- Front Desk Advisor, an AI receptionist, answers the phone when your front desk can’t. It handles the whole call, including booking, rescheduling, or canceling, even when the caller wants several services. You decide which calls it takes, from every call to only after hours.
- Booking notifications, confirmations, and reminders go out automatically. Clients get a notification right after they book, a confirmation request a set number of days before the visit, and appointment reminders the day before and the day of. When a client replies to confirm, the appointment status updates on its own.

- Deposits and cancellation policies are enforced automatically at booking. You can require a card on file or a deposit, and clients agree to your cancellation policy as part of booking. Spas that require deposits on online bookings have virtually eliminated no-shows.
- The wait list fills openings on its own. When an appointment opens up, Meevo texts clients whose requests match it and books the first one who replies. You can also give VIP clients priority without anyone else on the list knowing.
- The appointment book is drag-and-drop, and you can color-code it by provider or by resource. Staff can see at a glance who’s booked and which rooms and equipment are in use. Icons on each appointment indicate certain client details—like if they’re new, returning, or a VIP—without anyone having to open their profile. Those details make it easy to personalize each visit from the moment the client arrives.

- Convobar® is Meevo’s AI-powered search bar at the top of the screen. Staff type or say what they need in everyday language, like “deep tissue massage with Alex next week,” and Convobar pulls up matching openings right away so they don’t have to click through the calendar. It works the same way for finding a client, opening a report, or getting to any other screen in the system. Convobar makes booking an appointment up to 10x faster.
Checkout Is Quick for Clients and Creates More Revenue Opportunities
Checkout is the last step of a client’s visit, so it shapes how they remember the whole experience.
Meevo processes payments through MeevoPay, our own payment processor, instead of sending them through a separate company.
We guarantee a minimum of 99.95% uptime, and actual uptime typically runs closer to 100%.

That means the register is working whenever a client is ready to pay. Checkout takes just three clicks and a tap or swipe with any major card, Apple Pay, or Google Pay.
Aside from providing a convenient experience for clients, the register also helps your spa earn more from each visit and bring clients back for the next one.
- The whole visit rings up on one ticket, no matter how many services the client had or how many providers they saw. A client who had a massage, a facial, and a pedicure with three different providers pays once.
- Memberships, packages, loyalty points, and gift cards are easy to use at checkout. Membership discounts apply automatically, the register prompts staff to redeem a package when it covers the service, and loyalty point and gift card balances show right on the client’s profile. Package and membership credits can be swapped, split, or upgraded without manual workarounds.
- Membership dues are billed automatically every month. When a client’s card expires and the bank issues a new one, MeevoPay can get the updated card details from many card issuers, so payments keep going through without anyone calling the client.

- Service providers can easily adjust add-ons mid-appointment. For example, a service provider suggests hot stones during a massage and the client agrees. They add them to the appointment right then, so every service is already on the bill when the client reaches the front desk.
- The register reminds staff when a client is due to rebuy a product, based on what they bought before and how long it should last, so staff can offer it at the right time.
- Rebooking prompts come up during checkout, so staff can book the client’s next appointment before they leave. Clients who leave with their next visit already booked are the foundation of an active, steady client base.
- MeevoPay handles chargeback disputes for you. We win about 53% of disputes, compared to an industry average of 35% to 40%, and keep the overall chargeback rate under 0.02% of transactions.
MeevoTips, the tipping tool built into MeevoPay, increases tip income by an average of 22%. Clients choose from suggested tip amounts at checkout, providers receive their tips the same day instead of waiting for payroll, and your spa pays no processing fees on tips.
Detailed Reporting Makes Business Performance Easy to Understand and Act On
As a spa grows, it can get harder to tell which services, providers, and marketing efforts are bringing in the most revenue just from watching the day-to-day.
With Meevo, every booking and checkout feeds straight into reporting, so your numbers always reflect what’s happening in the business right now.
We include more than 150 pre-made reports, so you don’t have to figure out what to measure or build reports yourself. They not only show today’s numbers but also trends over time, giving you clear insight into what’s growing and where to focus next.
- One KPI report shows each provider’s full performance. Retention, visit frequency, rebooking rate, and average ticket appear together, so you don’t have to open several reports and compare them yourself.

- The Sales Rankings report shows your best-selling services and retail products, top-performing staff, and most loyal clients in one place. It gives you a quick read on what’s working without pulling multiple reports.
- Performance Dashboards show your numbers as charts and graphs, so trends are easy to spot. You can see how a service category, a provider, or client retention is trending over several months, then decide where to put your marketing budget and staff hours.
- Smart Center is the dashboard each employee sees when they log in. It’s built from tiles you choose, like live sales, today’s appointments, or progress toward a goal, and you can start from one of our templates or build your own. Each dashboard is set up by role, so an owner opens to spa-wide sales and new-client counts, while a massage therapist opens to their own bookings, rebooking rate, and access to goals.

- You set your own retention window at three, four, or six months, instead of being locked into a fixed 90-day window. The window you choose decides how long a client can go between visits and still count as retained, so matching it to how your clients actually visit gives you an accurate count of who’s still active.
- The Missed Opportunities report shows the revenue from waitlist requests that never got booked. That way, you can see where demand is outpacing your schedule and follow up with those clients directly.
- The Meevo Business Intelligence (BI) mobile app puts more than 20 KPIs on your phone. You can check sales for the whole spa or a single provider and compare time periods or locations from anywhere.

Built-In Marketing Tools Help Attract New Clients and Encourage Repeat Visits
With Meevo, the marketing tools are built into the same system as booking and checkout, so every campaign draws on current client records. You don’t have to export client lists into a separate marketing platform or keep two sets of contacts up to date.
“Having something that’s a turnkey, fully integrated solution makes everyone’s job easier. And in this environment, having an easier job means less time training and more time taking care of your guests & your staff.”
– Ty Samples, Owner of DuBunné Day Spa
- You can send campaigns to specific groups, like new clients, clients who are overdue for a visit, birthdays this month, or loyalty members. Each group is based on the visit and purchase history already in Meevo, so the right message reaches the right people.

- Campaign journeys send a series of emails or texts as one campaign. You set up the whole sequence at once instead of building each message separately, like a thank-you after a first visit followed by a rebooking offer a few weeks later.
- Emma, our AI writing assistant, drafts campaign copy for you. You describe what you want to say in a few sentences, and Emma writes the email draft. You can adjust the tone or length, run A/B tests on subject lines and images, and track open, click, and bounce rates for every campaign.
- Online Presence Management shows how your spa compares to nearby competitors. You add your top competitors, and Meevo tracks who ranks near you, how your ratings compare, and which keywords bring clients to your listing. The same tool keeps your hours, address, and services consistent across hundreds of listing sites, like Google, Yelp, and Facebook, so you only have to update them once.

- Social posts go to Facebook and your Google Business Profile from inside Meevo. You can publish right away or schedule a post for later.

2. Phorest: Spa Management Platform for Growing Businesses

Phorest is an online spa management software for teams of three or more. One system handles the full client visit, from booking to checkout, with built-in client management and marketing.
Key features:
- Booking across web, app, and social media: Clients can make an appointment 24/7 through a booking widget, social media, or a branded app, and all of those bookings land in one calendar.
- Marketing and rebooking automation: Phorest predicts when a client is due for their next visit and sends a text prompting them to rebook. It also sends review requests after appointments and tracks each campaign’s return through to the point of sale.
- Payments through PhorestPay: Checkout runs on PhorestPay, which is built on Stripe’s payment platform. Staff can take payment at the front desk or from a phone or tablet in the treatment room.
Other details to consider: Phorest’s waitlist doesn’t contact clients or fill openings automatically. When an appointment opens up, someone at the front desk has to check the list, find a client who wants that time, and book them in manually. Also, clients pay a fee for each online booking ($1 in the US), which Phorest keeps and spas can’t turn off.
3. Setmore: Free Online Booking Software for Solo Estheticians and Small Spas

Setmore is an online booking software used by spas, salons, and many other types of appointment-based businesses. Its free plan covers up to four users.
Key features:
- Online booking page: Clients can see your availability and book appointments 24/7 from a Setmore booking page you share on your website or social media. Staff get notified of new bookings, and clients get email confirmations and automated reminders.
- Payments at booking: Spas can connect Square, Stripe, or PayPal to the booking page so clients pay for their service ahead of time.
- Intake forms and review requests: Custom intake forms collect client details and preferences before a visit. On the Pro plan, Setmore can also send clients a request to leave a Google review after their appointment.
Other details to consider: Setmore is built mainly for scheduling. It doesn’t have its own point-of-sale system, memberships, packages, or inventory tracking, so a spa that sells retail products or memberships would need a separate system for that part of the business. Text message reminders and recurring appointments are also only available on the Pro plan.
4. Goldie: Online Spa Management App for Solo Providers and Small Teams

Goldie is a spa scheduling software in the form of an app, built for beauty and wellness professionals who work on their own or run small teams. It runs on a phone, a tablet, or the web. The free Starter plan covers one user and up to 20 appointments a month. Additional team members can only be added on the Pro Plus plan.
Key features:
- Booking website and client records: Each business gets a customizable booking website, and clients can also book through Google. Client profiles store preferences, notes, client history, birthdays, and photos. On Pro Plus, clients fill out intake forms digitally when they book.
- Payments through Goldie’s app and card reader: Spas can take payment by card reader, tap-to-pay, card on file, or a payment link, and collect deposits at booking. Payments run through Stripe.
- Reminders and text marketing: Goldie sends automated text reminders and confirmations. The paid plans add targeted text campaigns, gift cards, and review management.
Other details to consider: Goldie’s plans don’t list treatment room allocation, so staff have to check that a room is open before booking a service that needs one. Their plans also don’t list memberships or packages, which many spas rely on for repeat business. Team logins and staff-level reports are only on Pro Plus.
5. Vagaro: Spa Management Software With a Consumer Marketplace

Vagaro is a spa management software that includes a free listing on the Vagaro Marketplace, a consumer app and website where people search for and book nearby services. Spas with multiple service providers and locations can use it, but it’s best suited to newer and smaller spas that are still building a client base and want the extra visibility the marketplace provides.
Key features:
- Vagaro Marketplace listing: Each spa gets a public profile on the Vagaro Marketplace, where clients searching for nearby services can find and book it.
- Calendar, resources, and client communication: The calendar includes resource management for rooms and equipment, a wait list, and unlimited appointment notifications and reminders.
- Memberships, packages, and client records: Spas can sell memberships, packages, and gift certificates, and run a loyalty program where clients earn points. Client profiles hold notes on preferences and skin type, along with SOAP notes and face-mapping photos.
Other details to consider: Vagaro’s marketplace puts your spa in front of people already looking to book, but it also lists your spa alongside nearby competitors in the same search results. Pricing is based on the number of calendars, and each service provider needs their own, so the monthly cost goes up with every provider you add. Several common tools are also paid add-ons on top of the base price, including intake forms and a branded website. As a spa adds staff and features, the monthly cost can grow well beyond the starting rate.
6. Fresha: Spa Software with a Marketplace for Newer Spas

Fresha is a salon and spa software built around the Fresha Marketplace, a consumer app and website where people search for and book beauty and wellness services. Like Vagaro, it can be used by spas with several service providers, but it’s best suited to spas that want to reach new clients through a marketplace.
Key features:
- Fresha Marketplace listing: Each spa gets a profile on the Fresha Marketplace, where clients searching for nearby services can find and book it.
- Calendar, rooms, and group bookings: The calendar handles treatment rooms and group bookings, and automated text and email reminders go out before each appointment. Spas can require a deposit or full payment at booking.
- Memberships, packages, and client forms: Spas can sell memberships and service packages, and clients fill out intake forms that save to their profile.
Other details to consider: When a new client finds your spa through the Fresha Marketplace, Fresha charges a one-time commission of 20% of that first booking. Fresha’s marketplace also lists your spa alongside nearby competitors, so a client browsing for a massage might see a spa down the street advertising a discount and book there instead.
If your spa has multiple service providers and has outgrown the basic tools, Meevo gives you one system that plans every appointment around your rooms and equipment, fills openings automatically, and handles payments in-house. Request a demo to see how it fits your spa.
